1. About Minima

Minima is a sustainable loungewear brand founded by Ava Wooldridge and based in London, United Kingdom. We sell clothing and accessories through our website at minimaby.co.uk.

By accessing our website or placing an order with us, you agree to be bound by these Terms & Conditions. If you do not agree, please do not use this site.

We reserve the right to update these terms at any time. Continued use of the site following any changes constitutes acceptance of the revised terms.

2. Placing an Order

By placing an order through our website, you confirm that:

• You are at least 18 years of age
• You are legally capable of entering into a binding contract
• The personal and payment details you provide are accurate and complete
• You are ordering for personal, non-commercial use

An order confirmation email will be sent to the address provided once your order is placed. This email is confirmation of receipt, not acceptance of your order. We reserve the right to cancel or refuse any order at our discretion — for example if a product is out of stock or a pricing error has occurred.

3. Pricing & Payment

All prices are displayed in British Pounds (£) and are inclusive of VAT where applicable. Prices are subject to change without notice, but changes will not affect orders already confirmed.

• PayPal

All payments are processed securely via Stripe and PayPal. Minima does not store your full card details at any point. Payment is taken at the time of order.

4. Delivery

We currently deliver within the United Kingdom only. All orders are dispatched from our UK base using Royal Mail or electric vehicle delivery where available, in line with our sustainability commitment.

Delivery Options & Costs

• Standard Delivery (3–5 working days) — Free on orders over £130
• Standard Delivery (3–5 working days) — £3.99 on orders under £130
• Express Delivery (1–2 working days) — £6.99

Delivery times are estimates and begin from the point of dispatch, not the point of order. Minima is not liable for delays caused by Royal Mail or other carriers outside of our control.

If your order has not arrived within 10 working days of your dispatch confirmation, please contact us at ava.wooldridge@minimaby.co.uk.

5. Returns & Refunds

We want you to love your Minima order. If you are not completely satisfied, we offer a straightforward returns policy in accordance with the UK Consumer Contracts Regulations 2013.

Return Eligibility

• Items must be returned within 28 days of the delivery date
• Items must be unworn, unwashed and in original condition
• Items must be returned in their original packaging with all tags attached
• Sale items and swimwear are non-returnable for hygiene reasons

How to Return

To initiate a return, please email ava.wooldridge@minimaby.co.uk with your order number and reason for return. We will provide return instructions within 2 working days.

Refunds

Once your return is received and inspected, we will process your refund within 5–10 working days to your original payment method. You will receive an email confirmation once the refund has been issued.

6. Products & Stock

We make every effort to display our products as accurately as possible. However, colours may appear slightly different depending on your device's screen settings. We cannot guarantee exact colour accuracy.

All products are subject to availability. If an item becomes unavailable after your order is placed, we will notify you promptly and offer a full refund or suitable alternative.

7. Our Sustainability Commitment

Minima is committed to ethical and sustainable production. All of our products are made using recycled and sustainably sourced materials, produced in UK-based factories with fair wages and safe working conditions. We do not use child labour or exploit workers at any point in our supply chain.

We are working towards a net zero carbon footprint and continuously review our supply chain and delivery practices to reduce environmental impact.

8. Charity Collections

Minima donates 100% of proceeds from all designated charity collections to our two charity partners — The Maya Centre and WISH — both of whom support women's mental health services in the UK.

Charity collection items are clearly marked on our website. Standard product sales are not included in this commitment.

9. Intellectual Property

All content on this website — including text, images, graphics, logos, product photography and brand identity — is the intellectual property of Minima and Ava Wooldridge. You may not reproduce, distribute or use any content from this site without prior written permission.

10. Privacy Policy & Data Protection

Minima is committed to protecting your personal data and complying fully with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Data Controller

What Data We Collect

• Account data: your name, email address, and encrypted password when you create an account
• Order data: delivery address, phone number, items ordered, payment method, and order total
• Payment data: card payments are processed by Stripe and PayPal — we never store your full card number or CVV
• Wishlist & saved addresses: items and delivery addresses saved to your account
• Marketing preference: whether you have opted in to receive updates and offers from us
• Usage data: anonymous analytics via Google Analytics (only if you accept cookies via our cookie banner)

Why We Process Your Data (Legal Basis)

• Contract performance — to process and fulfil your orders, send confirmation emails, and manage returns
• Legitimate interests — to protect against fraud, maintain security, and improve our website
• Consent — to send marketing emails and set analytics cookies (you can withdraw consent at any time)

How Long We Keep Your Data

• Account data: held for as long as your account is active, or until you request deletion
• Order records: retained for 7 years in anonymised form for legal and accounting purposes, even if your account is deleted

Who We Share Your Data With

Your Rights Under UK GDPR

You have the following rights regarding your personal data. Most can be exercised directly from your account — no need to contact us:

• Right to erasure — permanently delete your account and anonymise your order history via My Account → Delete Account
• Right to rectification — update your name, address, or other details via your account at any time

Data Security

All passwords are stored using bcrypt hashing — we cannot read your password and it is never transmitted in plain text. All communication between your browser and our servers is encrypted via HTTPS. We review our security practices regularly and limit access to personal data to authorised personnel only.

Children's Data

Our website is not directed at children under 18. We do not knowingly collect data from anyone under 18. If you believe a child has provided us with personal data, please contact us immediately and we will delete it.

11. Limitation of Liability

To the fullest extent permitted by UK law, Minima shall not be liable for any indirect, incidental or consequential losses arising from use of our website or products. Our total liability to you in connection with any order shall not exceed the total value of that order.

Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited by law.

These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or your use of our site shall be subject to the exclusive jurisdiction of the courts of England and Wales.
